Job Summary: Responsible for the coordination of future lab orders and providing back up assistance to the phlebotomist and nursing staff

Reports To: Clinical Services Director

Essential Functions / Position Responsibilities

  • Assess patient’s vital signs and other preliminary information as needed
  • Enter laboratory charges for in house patients
  • Send out lab orders daily for patients seen on that day
  • Send out future lab orders, checking to ensure that there are no discontinued tests ordered
  • Process and send out specialty test kits twice a week
  • Assist with preparing specialty test kits, for in house patients to take home
  • Respond to e-mails, voice mails, and other messages in a timely manner
  • Responds to e-mails, voice mails, and other messages in a timely manner
  • Attends weekly Clinical Rounds and other UWC meetings as requested
  • Assists with projects as directed by Clinical Services Director
  • Assist with other duties as needed

Back-up responsibilites

  • Blood draws and specimen processing
  • Meet with patient to review lab testing ordered by provider
  • Researches and identifies needed resources in patient’s community in accordance with treatment plan to ensure coordination of care, and assists with communications with these resources as appropriate
  • Review, with patient, specialty kit instructions, medications/prescriptions, completion of consent forms, identification of lab/ other testing resources in their home community, and other issues requiring action steps to ensure smooth coordination of care (including provision for international needs)
  • Assist RN’s as needed with patient communication and care
  • Documents clinical information and communications accurately and in timely manner in electronic medical record reflecting services and care coordination provided, and plans for future steps needed
  • Manages complex medication refill needs, assisting patients with strategies/resources for obtaining necessary medications as warranted (including international patients)
  • Assesses for response to medications/side-effects or problems with meds
  • Medical record review
  • Monitor RX line and process refill requests
  • Prior-authorizations

Required Experience and Skills

  • Exceptional customer service skills
  • High level of computer proficiency, specifically with Electronic Medical Records, Outlook, Microsoft Word, and Excel.
  • Organized and detail oriented
  • Ability to multitask
  • Knowledge of medical terminology and procedures preferred
  • Able to respond to questions in a tactful and professional manner
  • Ability to maintain a high level of professionalism when dealing with difficult/demanding personalities
  • Ability to work in fast-paced medical office

Training and Educational Requirements

  • Current Medical Assistant Certification or LPN License
  • High school diploma or equivalent
  • Minimum of two (2) years of experience in office setting, medical related setting or customer service.
ADMINISTRATIVE SUPPORT

Job Summary:  

Provide administrative support to The UltraWellness Center team.  Assists with special projects as needed.  Reports To:  Patient Navigator Team Captain with input from Chief of Staff

Essential Functions / Position Responsibilities

  • Answers and directing incoming calls promptly 
  • Schedule RN phone appointments as appropriate
  • Schedule follow up appointments with provider upon completion of phone appointment
  • Monitor fax in box ensuring communication received is appropriately attached to patient files and/or forwarded to the proper person for follow through
  • Scan documentations into EMR as needed
  • Print and then scan patient Nutrition Plan in EMR chart
  • Assist billing department with sending out international patient billing statements
  • Monitor postage meter balance and notify Controller when additional funds are needed
  • Add funds to postage meter once processed by Controller
  • Send empty toner cartridges to Hewlett Packard for credit processing
  • Provide administrative support to Admin and Clinical teams
  • Responds to all e-mail communication promptly
  • Assists with any other office duties as required
  • Assist management team with projects as directed

Required Experience and Skills

  • Must have exceptional customer service skills

  • Ability to maintain confidentiality
    • Must be proficient in MS Office – including Outlook, Word, Excel
    • Excellent typing skills
    • Must be able to work on several tasks simultaneously and work within tight deadlines

Training and Educational Requirements
